What problem this calculator solves

A stock-count difference may arise from pilferage, damaged goods, timing of receipts, unposted goods issues or a unit-of-measure mismatch. Recording one net difference can hide the real cause. This tool compares physical counted units and book units per SKU, values shortages and surpluses separately, and estimates a lower-of-cost-or-NRV valuation adjustment on the units physically counted. This is an exception and exposure schedule—not an automatic adjustment journal.

Separate count variance from valuation changes

For each SKU enter book quantity, physical quantity, consistent inventory cost per unit and estimated net realisable value per physically counted unit. Missing quantity equals the positive part of book quantity less count quantity. Excess quantity equals the positive part of count less book. Missing value uses unit inventory cost, while surplus value is disclosed separately and not automatically offset in financial statements. A write-down is computed only on physically counted units at max(cost−NRV,0). Consequently the same missing unit is not written down twice.

Expected recoveries are contingent

Enter expected insurance or supplier recoveries per missing unit only as a planning sensitivity. The model constrains this figure to no more than unit cost, but the possibility of an insurance claim does not establish a receivable or immediate profit. Validate policy deductibles, notification deadlines, insurer acceptance, recovery likelihood and accounting recognition separately. If a recovery is uncertain, run the calculation again at zero recovery and retain both results for risk analysis.

Worked example — three SKU cycle count

Suppose ITEM-A shows 120 book units but 112 physically counted at ₹850 cost and ₹800 NRV. Eight units are missing, costing ₹6,800, and the 112 counted units have a ₹5,600 NRV shortfall. ITEM-B counts 54 units against 50 in the ledger at ₹500 cost, creating a ₹2,000 apparent surplus for investigation rather than immediate offset. ITEM-C shows 200 book units versus 180 counted at ₹125 cost and ₹100 NRV, with ₹25 potential recovery per missing unit. The shortage is ₹2,500, the estimated recovery is ₹500, and the counted unit write-down is ₹4,500.

How to interpret the result

In that example, gross missing inventory at cost is ₹9,300, potential recovery is ₹500, and counted-goods NRV write-down is ₹10,100. A provisional shortage and value-loss indicator therefore totals ₹18,900 after possible recovery. This is not netted against the ₹2,000 apparent surplus because the latter could reflect unrecorded receipts, counting errors, third-party inventory or a unit-of-measure issue. A physical count value is calculated separately at the lower of each SKU’s cost and estimated NRV.

Ind AS 2 and other tax frameworks

Ind AS 2 generally requires inventory measurement at lower of cost and net realisable value, with specific exceptions and application judgments. NRV is an estimate of selling price in ordinary business less completion and selling costs. Income-tax ICDS has its own applicability and rules; it is not interchangeable with accounting standards. The calculator assumes a valid unit cost already exists and does not derive FIFO or weighted-average cost. It does not decide CGST Act section 17(5)(h), loss/theft/destruction input-tax credit, insurance-accounting recognition, or audit-materiality thresholds. Seek fact-specific professional advice.

Cycle count procedure before adjusting the ledger

Freeze the cut-off for goods receipts, dispatch and transfers; record where the stock was found and the counting team; verify units such as cases versus pieces; and independently recount significant differences. Check goods-in-transit, consignment goods and customer returns. Trace serial numbers for valuable assets and review security footage only under appropriate privacy and employment policies. Identify damaged stock and estimate NRV based on documented expected selling proceeds less completion and sales costs. Require reviewer approval for each proposed adjustment.

Controls and sensitive assumptions

A high unit cost amplifies the monetary impact of even a small count difference, but a zero quantity variance does not rule out obsolescence. Conversely a surplus count is not evidence of profit until ownership is validated. The calculator does not provide a fraud score or a confidence level. It rejects repeated SKU identifiers to prevent double counting, requires non-negative whole quantities, and exposes possible recoveries separately from physical counted carrying value.

Primary references and scope

Use ICAI educational materials on Ind AS 2 and official Income Tax Department ICDS guidance to identify the applicable framework. Values are financial planning estimates and require underlying vouchers, cost records, invoices and valuation evidence before financial reporting or return filing. Frequently asked questions

Should shortages and surpluses be netted?

Not without investigating the underlying transactions and ownership.

Does every damaged item get a full write-off?

Not necessarily; assess NRV and whether it is saleable.

What if NRV is above cost?

This tool records no upward valuation above entered unit cost.

Is an insurance claim immediate income?

Not automatically.

Will it calculate GST reversal?

No, statutory treatment requires a separate legal fact pattern.

Can I download my variance schedule?

Yes, the browser exports the results as a CSV file.
