Contract registration and portal workflow

Build a defensible contract-to-registration trail under section 4 and Rule 14.

What this workflow covers

Section 4 of the Apprentices Act, 1961 requires every apprenticeship to be governed by a written contract of apprenticeship between the apprentice (or guardian, if a minor) and the employer, executed in the prescribed form and registered with the Apprenticeship Adviser; Rule 14 of the Apprenticeship Rules, 1992 sets the registration procedure and timeline. Getting this contract-to-registration trail right at the outset avoids later disputes about whether a valid, enforceable apprenticeship exists at all.

  1. Classify apprentice category and trade.
  2. Verify age, qualification, fitness and prior training.
  3. Use current Format-1; include institution for degree/sandwich arrangements.
  4. Enter the contract on the correct portal within the statutory timeline.
  5. Resolve objections, retain registration acknowledgement and control amendments/novation.

Evidence to retain

Keep source calculations, approvals, portal acknowledgements, contracts, bank/DBT proof, training records and adviser correspondence for the full retention period applicable to your establishment and scheme.
