Filing Form IEPF-5 is only one stage: the company must verify the claim, records must match and heir cases need the correct transmission documents.
The most common IEPF delays begin before filing—old folio data, name differences, inactive demat accounts and incomplete succession papers.
Amounts and shares that meet the statutory transfer conditions can move to the Investor Education and Protection Fund. A claimant uses the official IEPF-5 process, after which the concerned company verifies entitlement and submits its report to IEPFA. The authority then examines the refund claim.
The claimant should first search company records, confirm the transfer and identify every dividend year or share holding. Details entered in Form IEPF-5 must match PAN, bank, Aadhaar or accepted identity, demat account and company folio records. Multiple mismatches can generate resubmission or rejection risk.
For a deceased holder, the heir may need to complete transmission or entitlement formalities with the company or registrar. A nominee, joint holder and legal heir are not interchangeable labels. Do not fabricate an indemnity, affidavit or succession document to fit a portal field.
| Stage | Main task | Critical proof |
|---|---|---|
| Pre-check | Confirm asset was transferred to IEPF | Company or RTA records and unpaid dividend history |
| Form IEPF-5 | Enter claimant and asset data accurately | SRN or acknowledgement |
| Company verification | Send prescribed documents to nodal officer | Dispatch and receipt proof |
| Demat readiness | Keep active claimant demat account | Client master list |
| Authority decision | Respond to defects through official route | Resubmission communication |
An heir finds 200 old physical shares in a deceased parent’s name, but the shares have already moved to IEPF. Before filing, the heir obtains the company folio details, completes the required transmission documentation and opens an active demat account with matching KYC. This avoids a portal filing that cannot be verified.
Contact the company’s designated nodal officer or registrar with the SRN and document dispatch proof. Use IEPFA’s official support, including the notified helpline, for portal or authority issues. Legal advice may be needed for succession disputes, missing records or competing heirs.
