GST on Freight, GTA and Transport Charges: Return, ITC and Notice Checklist
Reviewed by CA Nikhil Gupta · Last reviewed 19 June 2026
Freight bills look simple until a finance team has to decide whether the supplier is a GTA, whether reverse charge applies, whether ITC is available and whether the expense has been mapped correctly in GSTR-3B. This guide gives a practical control checklist.
Use the GST Refund Route and RFD-01 Checklist to apply these points to your figures or facts.
Start with the consignment note question
For GST purposes, the first practical question is not whether the vendor is a transporter in common language. The key question is whether the service is by a goods transport agency and whether a consignment note or equivalent transport document exists. Simple truck-hire, courier, GTA and other logistics models can have different GST treatment.

Freight scenarios finance teams should separate
| Scenario | GST check | Document to keep |
|---|---|---|
| GTA charges GST under forward charge | Check invoice tax rate, GSTIN and ITC condition. | Tax invoice, consignment note, vendor declaration. |
| GTA covered under RCM | Recipient may need to pay GST under reverse charge if conditions apply. | RCM working, payment challan, invoice, consignment note. |
| Pure truck hire / non-GTA transport | Check whether exemption or non-GTA treatment applies. | Agreement, invoice wording, vehicle details. |
| Freight recovered from customer | Check valuation and whether it is part of composite supply. | Customer invoice, contract terms, dispatch evidence. |

ITC and return reporting controls
If GST is charged by the vendor, ITC should be checked under Section 16 and matched with GSTR-2B before availing credit. If tax is payable under RCM, the tax should be paid in cash and then eligible credit may be evaluated under the normal ITC rules. Incorrectly booking GTA RCM as normal vendor GST is a common reconciliation error.
Notice-risk checklist
- Maintain vendor-wise GTA/transport classification.
- Keep consignment notes for GTA cases.
- Map RCM tax payment to expense ledger and return period.
- Separate freight recovered from customers from inward freight expense.
- Do not claim ITC where the underlying transaction/document does not satisfy GST conditions.
