An employee exit crosses HR, payroll, finance, IT, legal and business teams. If each team acts separately, the company may overpay salary, leave access open, miss gratuity or PF steps, lose equipment and fail to preserve confidential information.
Private-sector final settlement can depend on state law, contract and benefit-specific statutes.
System and bank access should end at the right time, not days after departure.
PF, gratuity, bonus, leave and tax documents follow separate rules.
Exit is complete only when payroll, assets, access and handover reconcile.

- Use one exit ticket with owners from HR, payroll, IT, finance, legal and the business manager.
- Determine the legal last working day and notice treatment before payroll is processed.
- There is no single universal final-settlement deadline for all private employment; check the applicable state Shops and Establishments law, standing orders, contract and benefit statutes.
- Arrange gratuity within 30 days once payable under the Payment of Gratuity Act; assess eligibility and forfeiture only under the statute.
- Mark EPF date of exit and remit contribution through the actual leaving date; verify UAN data.
- Schedule access revocation by risk: immediate for involuntary/security exits, end-of-day for routine exits unless continuity requires controlled transition.
- Reconcile assets, advances, expenses and recoveries; do not make unlawful deductions.

A finance employee resigns with access to banking, ERP and vendor masters. HR’s exit email is not enough. Bank tokens and maker rights should be removed at the agreed time, vendor-master changes reviewed, files handed over and the final settlement independently checked.
