How the calculation works

  1. Only payments in a mode other than account payee cheque or draft, ECS or a prescribed electronic mode are added up, per payee and per day.
  2. If the day’s total for a payee is above ₹10,000 (₹35,000 for payments for plying, hiring or leasing goods carriages), the whole total is flagged, not just the excess.
  3. Rule 6DD exceptions are taken from your “exception” column. A payment whose expense was deducted in an earlier year is shown separately as possible income under section 40A(3A).

Background and professional notes

A daily-payee test rather than a transaction-only threshold

Section 40A(3) restricts deduction for expenses paid otherwise than through prescribed banking or electronic modes where payment or aggregate payments to a person in a day exceed the relevant amount. Splitting ₹13,000 into ₹7,000 and ₹6,000 on the same date does not sidestep the requirement. The CSV groups non-prescribed-mode payments by payee and day. Each exceeding group is flagged for the entire potentially disallowable amount rather than only the rupees above the threshold.

Why transport cases require their own flag

The ordinary limit is ₹10,000 per person per day; the special ₹35,000 reference applies in qualifying payments for plying, hiring or leasing goods carriages. It must not be applied loosely to any invoice from a logistics vendor or to general freight reimbursement. The tool requires a user classification and displays each group’s threshold. Payments through specified account-payee banking and approved electronic modes are not counted in the non-prescribed aggregate.

Rule 6DD and prior-year recognition

Specified exceptions under Rule 6DD can protect otherwise disallowable payments where the precise conditions are satisfied. An exception flag only reflects the preparer’s representation: preserve the circumstances and original evidence. Another distinction is the separate treatment where an expenditure was allowed in an earlier year and a later non-compliant settlement can produce taxable business income under section 40A(3A). The output separates current-year disallowance from that potential recovery.

How finance teams should review a flagged register

Export the exception worksheet and investigate vendors with repeated cash payments, different spellings of the same payee and incorrect payment-mode coding. Match invoices, payment vouchers, UPI/banking trails, transporter evidence and the general ledger. Use a normalised payee master rather than solely free-text spellings. The result is a screening aid; the tax computation should be signed only after source examination and correct assessment-year mapping.

Frequently asked questions

Is the limit on each payment or on the day’s total?

On the total paid to one person in a day. Splitting a payment into smaller same-day amounts does not avoid the limit.

Is ₹10,001 automatically completely disallowed?

The statutory rule can disallow the relevant payment aggregate, subject to payment mode and Rule 6DD conditions.

Do UPI payments count as cash?

Verify whether the electronic mode is prescribed and its transaction evidence.

Does an expense previously deducted need another test?

Yes. A later non-compliant payment can require separate section 40A(3A) treatment.
