Finin2min two-minute summary
The bank statement and the cash book can show different closing balances even when both systems are correctly recorded. Common causes are cheques not yet presented, deposits awaiting clearing, bank charges not yet recorded, interest credits, direct transfers and actual errors. A bank reconciliation bridges the two balances, classifies timing differences and identifies entries that may require posting.
Why the direction of each adjustment matters
A cheque already recorded as paid in the cash book but not presented to the bank means the bank balance remains higher: subtract the uncleared payment from the bank-side balance to arrive at the adjusted bank balance. A deposit in transit means the bank has not yet credited an amount already shown in the books: add the deposit to the bank-side balance. New bank charges or direct customer receipts not in books are instead adjusted on the book side.
Worked example and two independent bridges
Suppose the cash book closes at ₹2,75,000 and the bank statement at ₹2,95,500. The bank has yet to clear issued cheques of ₹42,000 and recorded deposits of ₹30,000. The bank also charged ₹1,500 not posted to the cash book, while a direct customer receipt of ₹10,000 appears in the bank but not the books. Adjusted cash book = ₹2,75,000 + ₹10,000 − ₹1,500 = ₹2,83,500. Adjusted bank = ₹2,95,500 + ₹30,000 − ₹42,000 = ₹2,83,500. Difference is zero.
What a zero balance difference does and does not establish
Equal adjusted balances are useful evidence of arithmetic completeness, but not assurance that individual cheques are genuine, customer credits belong to the entity, amounts are correctly dated, an outstanding cheque remains valid or the financial statements are fairly presented. A wrong credit and wrong debit can cancel each other numerically. For material balances, validate the reconciled items against originals and subsequently cleared bank entries.
How to prepare a controlled monthly bank reconciliation
Obtain the official bank statement through the cutoff date and a cash-book ledger for the same bank account, currency and cutoff. Lock the period balances, match cleared transactions, review outstanding items and avoid including entries dated outside the period without reason. Provide descriptions for each difference. This model deliberately does not upload transaction data or claim to match transactions by reference or UTR automatically.
Outstanding cheques and subsequent clearances
An unpresented cheque could become stale, be replaced, cancelled or never delivered. For important or old uncleared amounts, inspect subsequent bank statements, payment instructions and vendor confirmations. A deposit awaiting clearing also needs follow-up; deposits still uncleared after an unusual interval should be challenged rather than carried forward indefinitely.
Direct bank movements and book postings
Unrecorded bank interest, bank charges, standing instructions or direct credits usually require journal or cash-book entries after verifying their nature. The model adds or subtracts such items to a theoretical adjusted cash-book balance, but it does not generate accounting entries, bank charges GST, withholding entries or invoice matching decisions.
Audit trail and exception controls
Retain opening and closing balances, bank identifier, statement date, ledger export version, item description, currency, ageing of uncleared amounts and independent reviewer initials. Control totals matter, but so do completeness and cutoff. Reconcile in the bank account’s actual currency; the ₹ display here is appropriate only for INR balances.
