The best insurance cover can fail operationally if the family cannot identify the insurer, policy number, premium status, nominee or claim contact during an emergency.

Practical example

A hospitalisation occurs while the policyholder is unconscious. The spouse knows there is ‘some corporate insurance’ but cannot find the TPA card, employer contact or personal super top-up. A one-page emergency sheet could identify every cover, deductible and assistance number without exposing account passwords.

How to apply the framework

Create a master index with one line per policy and links to the documents. Separate life, health, motor, travel, home and business covers. Record renewal date and auto-debit account. Store the proposal form because it is central to disclosure disputes. For health policies, preserve continuity and portability records; for life policies, preserve benefit illustrations and revival documents.

Use secure digital storage with strong access controls and an encrypted backup. Keep a limited emergency sheet accessible to trusted family. Review the vault annually and after claims, marriage, birth, death, loan closure, job change or vehicle sale. Delete obsolete copies carefully but retain historical policies needed for cost, continuity or claims.
