Buyer Does Not Accept TReDS Invoice: MSME Evidence and Escalation Checklist

An unaccepted Factoring Unit is not the same as a confirmed buyer obligation; the supplier needs a contract-evidence and escalation file before expecting TReDS funding.

The control point is acceptance. A seller that only monitors “invoice uploaded” can mistake a workflow item for a financeable receivable. The case file should show what was supplied, when, under which order, whether the buyer accepted the supply outside TReDS and why the FU remains unaccepted.
Build the evidence chain
Keep PO/contract, delivery challan, e-way bill where relevant, GRN, service sheet, milestone certificate, GST invoice, email acceptance and debit-note discussions in one folder. Reconcile quantity, rate, tax and due date between these documents and the FU.
Escalate in the right order
First send a concise commercial reconciliation to the buyer’s procurement and accounts-payable owner. Then escalate through the buyer’s TReDS administrator if the supply is accepted but the FU is pending. Use the platform’s support channel for technical errors; do not describe a buyer commercial dispute as a portal failure.
Protect legal options without threatening too early
Record acceptance/deemed-acceptance facts and the contractual due date. For a qualifying micro or small enterprise, evaluate MSMED sections 15-24 and the MSEFC/Samadhaan route if non-payment persists. Keep that legal analysis separate from platform status.
Worked example
A supplier uploads an FU for ₹4.5 lakh. The buyer has already issued a GRN but the TReDS acceptance remains pending because the invoice carries an incorrect purchase-order line. The fastest control is to correct the underlying mismatch and obtain buyer confirmation, not to wait for financier bids that cannot begin on an unaccepted FU.

- Reconcile invoice, PO, GRN and tax data.
- Identify the buyer approver responsible for acceptance.
- Document whether the issue is commercial or technical.
- Keep reminder and escalation history.
- If overdue, assess MSE statutory rights separately.
Common mistakes
- Calling the invoice “funded” before acceptance and bid selection.
- Raising a duplicate invoice merely to get a clean TReDS workflow.
- Omitting debit notes/returns from the evidence pack.
- Using Samadhaan as a first response to a simple data mismatch that is still being reconciled.
