What this calculator does

Apply verified receipts, withholding and credit notes to overdue customer invoices; reconcile disputed and unapplied balances.

Common questions

Does withheld TDS count as bank cash?

No. It is modelled as separately verified noncash settlement.

Can the tool write off disputed amounts?

No. They remain part of the unresolved invoice balance.

What happens to excess money received?

It remains unapplied pending identification and authorised posting.

Does it calculate credit-loss provisioning?

No. The tool reconciles collections rather than measuring expected credit loss.

What is cash application?

Cash application identifies which customer invoices have been extinguished by a cleared bank receipt, valid credit note or documented tax withholding. It is different from recognising sales or posting a general journal entry. Accounts receivable teams need an auditable bridge from the opening ledger to closing unsettled amounts, with clear explanation of unapplied money.

The source documents required

Start from a customer statement showing open amounts, exact invoice references and due dates. Use the bank statement or payment gateway settlement as evidence of funds received. Only include withholding where a valid certificate or other sufficient evidence exists, and enter credit notes after approval. A customer assertion by email is not itself evidence that a deduction has been authorised.

How the oldest-first waterfall works

The algorithm orders invoices by days overdue, starting with the oldest. For each invoice it excludes the disputed portion from automatic allocation, then applies approved credit notes, verified withholding and cleared cash sequentially. Within each pool the engine allocates no more than the remaining eligible balance. The result contains a rowwise cash and noncash settlement bridge.

Why disputes remain open

Disputed invoices are not erased by the model. Their withheld portion stays within closing receivables even after all undisputed amounts have been settled. If an invoice has both a disputed portion and an undisputed portion, the latter may still receive allocations. This protects the collection queue from accidentally treating a dispute as a write-off.

Cash received versus tax withheld

Verified tax deducted at source can reduce a customer’s payable without appearing in the bank statement. It should not be added to the cash balance. A withholding certificate, matching customer PAN details and correct posting may be necessary. The calculator displays cash applied separately from credits and withholding; it does not validate deduction rates, eligibility or income-tax reporting.

Handling unallocated receipts

If the cash and authorised adjustment pools exceed eligible receivables, the surplus is shown as unapplied. Investigate duplicate transfers, advance receipts, remittances from other customers and bank charges before posting. Unapplied money is not automatically revenue and may need to remain in a suspense or customer-advance account depending on the verified facts.

Reconciliation identity and control

The fundamental check is opening invoice amount equals all assigned settlements plus unresolved invoices. Each class of input funding also reconciles to allocated and unused amounts. Export the CSV to preserve the snapshot, attach bank evidence and the credit-note approval, and obtain a reviewer sign-off on exception items.

Worked case and managerial interpretation

The sample uses three invoices with ₹2,65,000 opening outstanding and one ₹10,000 disputed portion. Available settlement consists of ₹1,85,000 bank cash, ₹10,000 documentary withholding, and ₹5,000 approved credits. The engine prioritises the older undisputed balances and leaves the balance open for collection. Change dates and disputed portions to see allocation order change.

Collections sensitivity and follow-up

Re-run the model after a customer provides additional remittance advice or after credit-note approval. Compare aged buckets, disputed balances and unapplied cash over time. Repeated manual adjustments to the oldest invoices often signal master-data, payment-reference or invoice-numbering problems that deserve root-cause remediation.

Financial-statement and tax limits

The worksheet is not an expected-credit-loss calculator and does not decide revenue, GST output tax, bad-debt write-offs or collection enforceability. Those subjects follow separate accounting and tax rules. In particular, the presence of cash alone does not establish whether a service was performed or goods were accepted.

Payment matching decisions require an audit trail

An invoice-level allocation is useful only if another employee can reproduce it. Keep the ledger cut-off date, bank transaction identifier, payer name, invoice reference, approval memo for each credit note, and evidence of withholding in the same working paper. Match amounts at the smallest practical unit and document why a particular receipt is assigned to an older invoice rather than a disputed current invoice. Exported numbers remain provisional until reconciled with the ERP.

Partial payment and simultaneous remittances

When customers split a remittance across several days, run each bank receipt sequentially against the updated balances. Do not enter the same remittance twice merely because two customers share a common group account. For a combined bank deposit, reconcile the source payment files first. A bulk aggregate may be mathematically allocatable but still lack adequate payee identification for accounting approval.

How to investigate an unapplied positive amount

Unapplied money may arise from an advance against an unissued invoice, an accidental duplicate remittance, a rounding correction, foreign-exchange differences, or a customer credit from an unrelated account. Review these cases separately rather than forcing a match to the newest invoice. The report makes unused cash and unused credits visible in different lines precisely to avoid posting a false reduction of debtors.

Control boundaries and data minimisation

This example keeps calculations in the browser. Do not paste customer bank details, tax IDs or personally identifying information into a public screenshot or exported demo. If the tool is later connected to an accounts-receivable system, introduce access controls, receipt-level identifiers, a versioned audit trail, exception approval, secure storage and privacy review before enabling automated posting.

Month-end cutoff and customer statements

At each reporting date freeze the receipt population and invoice-ledger snapshot before allocating amounts. Receipts posted after the reporting date should not be inserted simply to eliminate an earlier ageing bucket. Record whether the customer remitted from its own bank account or through an agent. If the payer and billed legal entity differ, obtain a documented reconciliation and authorisation before reducing the customer ledger. This protects cut-off, existence, completeness, and the audit trail of receivables.

When to escalate a long-overdue balance

Once the routine allocation has been completed, classify remaining invoices by ageing and evidence status. A genuinely disputed item needs an owner and next action; a cash receipt lacking remittance advice needs a payment investigation; and a collectible but overdue item needs an agreed follow-up timetable. The model does not compute interest, collection charges, impairment or bad debts. Keep the operational collection log separate from the financial statement estimate and avoid treating the age of an invoice as an automatic legal outcome.

Foreign currency and multi-entity limitations

All input values assume a single reporting currency, shown as rupees, and one legally identified customer ledger. If the remittance settles overseas invoices, independently translate amounts using relevant accounting policies and reconcile exchange differences and bank conversion charges. Do not use the remaining-balance figure to net liabilities of another group company without valid set-off rights. Multiple tax registrations or branches may also require distinct settlement controls, even where commercial discussions are conducted by the same procurement department.
